How Booking Works

A non-refundable deposit, typically covering the gorilla permit cost, confirms your dates and secures the trekking permit in your name with the Rwanda Development Board — the single most time-sensitive part of this itinerary, since permits are capped at 96 per day across Volcanoes National Park. The balance is due ahead of arrival, with the exact schedule confirmed in your written proposal. We recommend booking at least four to six months ahead for peak season (June–September, December–February), and ideally earlier if you have fixed travel dates.

Once your deposit is received, we handle every remaining detail directly — permit registration, lodge booking, private guide and vehicle assignment, and airport transfers — so nothing is left for you to coordinate once your trip is confirmed.

Given the daily permit cap, we recommend at least four to six months for peak season dates, though shorter notice is sometimes possible in quieter months depending on current permit availability — contact us directly to check specific dates.

Because this itinerary uses Kigali as both your arrival and departure point, flight scheduling is straightforward — most international routes connect through Kigali International Airport with reasonable timing on both ends. We coordinate your private airport transfer around your actual flight times, whether you land early morning or in the evening, so there’s no need to build in extra buffer days purely for arrival logistics.
